Administrative Assistant Description

Our client is looking for an Administrative Assistant to add to their team near Portland, OR. Working as part of the Client Relations team, you’ll support external new hires to help complete the necessary paperwork and test authorization/setup process in order for clients to maintain regulatory compliance. On a typical day, you could be speaking with anywhere from 1 – 10 individuals, so you must have strong organizational skills that will help you effectively drive the process forward in a fast-paced environment. To be successful in this role, you must be self-motivated and have a strong and pleasant phone presence. Administrative Assistant Responsibilities

• Schedule appointments and connect with external new hires on the phone
• Answer inbound phone calls from new hires
• Discuss work history with new hires to help complete required paperwork
• Ask probing questions to ensure all details are obtained
• Complete paperwork and documents in a timely fashion
• Scan and upload documents into the system
• Ensure new hires receive and sign off on all completed paperwork
• Obtain background check authorization
• Run background checks on new hires
• Run motor vehicle checks on new hires
• Notify customers of out of date or missing information
• Create reminders for upcoming expiration dates
• Invoice customers and ensure payment is received
• Support Client Relations team in all tasks that need to be completed
• Assist in the development of processes and procedures

Administrative Assistant Qualifications

• 1+ years of administrative or customer service experience required
• Professional phone presence required
• Strong organizational skills required
• Ability to multitask required
